DEFINED WAYS TO ENGAGE

Match the Engagement to the Operating Problem

Three defined engagements, each with a written scope, a clear set of deliverables, a stated time commitment from your team, and a fee agreed before work begins.

The engagement should match what is already known, what still needs to be diagnosed, and how much change the organization is prepared to implement. Most clients start with the assessment. Clients who already know which workflow is failing can start with redesign. These are defined starting structures, not rigid product boxes.

Starts with a 30-minute fit conversation at no cost. No preparation required. Within two business days you receive a short written summary: whether the problem is a fit, the recommended first step, and what that step would involve.

ENGAGEMENT 1 OF 3

Operational Clarity Assessment

Most leaders can feel the friction before they can see the cause. The Operational Clarity Assessment is a focused diagnostic of one workflow, operating area, or cross-functional process. It makes the current system visible before the organization commits to a larger change.

What the assessment examines

  • How work enters the process and what information is required before execution begins.
  • Where ownership, authority, or decision rights become unclear.
  • Where information lives, how status is communicated, and whether a reliable source of truth exists.
  • Where work waits, repeats, loops back, or depends on manual follow-up.
  • Which workarounds have become permanent and what requirement they reveal.
  • Whether current tools support the actual workflow or create additional drag.
  • Where quality, continuity, or risk depends too heavily on individual memory.

Typical outputs

  • Current-state workflow map.
  • Friction and dependency findings.
  • Ownership and information-flow gaps.
  • Risk and continuity observations.
  • Quick-win opportunities.
  • Prioritized roadmap for what should change first, with a recommended scope for the next step.
  • Findings delivered in writing and walked through in a readout session with your leadership.

At a glance

Typical duration

2 to 4 weeks, depending on how many people, teams, and systems the workflow touches.

What your team provides

An executive sponsor (about one hour per week); 45 to 60 minute interviews with four to eight people who do or manage the work; access to current trackers, templates, and examples of real work. Estimated timeframes may vary depending on complexity and scale.

Not included

Implementation, software selection or configuration, and ongoing management. These can follow as a separate, scoped engagement.

How you know it worked

Leadership can see where the process breaks down, why, and what to fix first, in priority order.

Pricing model

Fixed fee, quoted after the fit conversation.

Best fit: before buying another tool, adding headcount, rewriting procedures, or redesigning a process based on assumptions.

ENGAGEMENT 2 OF 3

Workflow Architecture & Redesign

When the organization already knows which workflow is creating material friction, the work can move directly into redesign. The engagement follows the process from trigger through completion and defines the operating structure required for reliable execution.

What the work defines

  • Required inputs and intake standards.
  • Roles, owners, decision rights, and escalation points.
  • Handoffs, reviews, approvals, and completion criteria.
  • Status visibility and the authoritative source of information.
  • Exception paths for work that does not follow the normal route.
  • The practical tools, trackers, or workspaces needed to support the process.

Typical outputs

  • Future-state workflow.
  • Responsibility and decision structure.
  • Intake model and required information.
  • Tracker or workspace structure.
  • Review and approval logic.
  • Exception path and escalation model.
  • Implementation checklist and transition plan.

At a glance

Typical duration

4 to 8 weeks for one critical workflow.

What your team provides

A process owner; working sessions with the people who do the work (roughly two to three hours per week during design); approval of the future-state design before rollout.

Not included

Software licensing, custom development, and permanent staffing. Tool configuration is included only where agreed in the written scope.

How you know it worked

The redesigned workflow is approved, owners and decision points are named, and a real request can move through it from start to finish.

Pricing model

Fixed fee or defined phases, based on scope.

Best fit: teams experiencing recurring delays, incomplete requests, unclear accountability, inconsistent delivery, or excessive manual follow-up in a known workflow.

ENGAGEMENT 3 OF 3

Operating Playbook & Adoption

A redesigned workflow only creates value if the team can use it, teach it, maintain it, and improve it. This work converts the operating model into clear guidance and supports the move from design into day-to-day practice.

What the work can include

  • SOPs, process maps, role guides, checklists, templates, and decision rules.
  • Quality standards, file and information conventions, and escalation paths.
  • Onboarding and training references that support continuity.
  • Pilot implementation using real work.
  • Working sessions, feedback, and refinement as adoption issues emerge.
  • Tool configuration guidance where the workflow requires it.
  • Operating measures, ownership checkpoints, and transfer to internal process owners.

Typical outputs

  • Operating playbook (SOPs, role guides, checklists, templates).
  • Pilot results and refinements.
  • Training sessions and training references.
  • Operating measures and ownership checkpoints.
  • Formal handoff to named internal owners.

At a glance

Typical duration

4 to 12 weeks, including a pilot on live work.

What your team provides

An internal owner, pilot participants, and time for training sessions.

Not included

Indefinite managed services. Ongoing advisory support can be scoped separately if useful.

How you know it worked

The team is using the process on live work, the internal owner can train others and maintain the documentation, and the agreed operating measures are being tracked.

After handoff

A 30-day follow-up check-in is included.

Pricing model

Fixed fee or defined phases, based on scope.

Best fit: organizations that need the redesigned operating system to become usable practice rather than a document that sits outside the work.

How Pricing Works

Every engagement is scoped and priced before work begins. The Operational Clarity Assessment is offered at a fixed fee. Redesign and adoption work is quoted at a fixed fee or in defined phases. You will receive the scope, deliverables, timeline, and fee in writing before you commit. For on-site work more than 50 miles from Uptown Charlotte, North Carolina, the client is responsible for travel expenses, including airfare, rental cars, and accommodations. These expenses will be estimated and approved in advance, with payment due before travel is booked.

What changes the scope and price: the number of workflows, teams, or locations involved; the number of systems the work touches; the depth of documentation required; how much implementation and training support you fits your requirement; and the timeline.

How Engagement Risk Is Managed

RiskHow it is handled

Scope drift

Written scope and exclusions before kickoff. Any change is documented and approved before work expands.

Timeline slip

A readiness checklist before kickoff and a weekly status update. If a date moves, you get the cause, the impact, and a revised plan.

Disruption to daily operations

Changes are staged and piloted on real work. The current process stays in place until the new one is proven.

Missing access or information

Access and information needs are listed before kickoff. Blockers are escalated to your sponsor promptly rather than absorbed as delay.

Outcome shortfall

Success criteria are agreed at kickoff and reviewed during the work. If a result is not achievable, you get corrective options or a documented explanation.

Confidentiality

NDAs are available. Your information is used only for the engagement.

How I Deliver Value

My approach centers on aligning technology directly to your actual workflow, ensuring the operation drives the platform rather than the reverse. I design streamlined processes focused entirely on efficiency, building practical documentation that empowers your existing teams to execute effectively. In every engagement, technology, documentation, and controls are intentionally structured to serve the work, never to become the work itself.

The objective is to establish the minimum useful structure required to make capable people easier to coordinate, important information easier to find, decisions easier to see, and execution easier to repeat.
